Manage collections
Collections group documents that belong together. You manage them in the Manage collections window. Putting documents into collections happens elsewhere — in the documents table's floating bar, and by dragging rows between folders; see Work with the documents table. Tags, the labels your team applies across documents, have their own window; see Manage tags.
Open the window
Select Collections in the toolbar at the top of the Documents page. Close the window with the ×, the Escape key, or by selecting the background.
You can also jump straight to one collection: in the documents table, open a collection folder's Collection actions menu and select Open in Manage collections — the window opens with that collection selected and scrolled into view.
The collections table
The window is a table of your team's collections, with a Name, Description, Tags, Owner, and Created column. It sorts and filters the same way the documents table does. Until your team has its first collection, the window shows "Your team currently has no collections." in place of the table.
Create a collection
- Select Create collection.
- Enter a name.
- Optionally, enter a description.
- Submit.
The collection appears in the table; the window stays open so you can create another.
Matters
A collection can be declared a matter — tick This collection is a matter when creating it, or use Convert this collection into a matter on an existing one. A matter's documents are contextualised together and kept current as the matter evolves, and its row carries a Matter tag plus its own controls (the journal, dormancy, and re-contextualising from scratch). Ordinary collections imply nothing about how their documents relate; a matter is the declaration that they do.
Rename a collection or change its description
Select the name or description cell. It turns into an editable field holding the current value. Press Enter, or select elsewhere on the page, to save.
A collection must have a name. If you clear the name and try to save, the previous name is put back.
Tag a collection
With tags turned on (see Turn tags on), type a tag into the collection's Tags cell and press Enter. Tags are stored in lower case, and a tag already on the collection is not added twice. Select the × on a tag to take it off. Tags come from the vocabulary your whole team shares; see Manage tags.
Work on several collections at once
Tick the checkbox on each collection you want, then use Bulk Add Tags to tag them together, or Bulk Delete to remove them. Deletion is restricted: you can delete the collections you own, and a team administrator can delete any of them.
How collections appear in the documents table
Once your team has collections, the documents table groups its rows under collapsible collection folders. Documents in no collection sit outside the folders. Dragging a row from one folder to another moves the document between collections. To see only the documents in particular collections, use the table's own Collections filter.
