Use discussions

To ask the agent about your team's documents, open the Discussions tab, or open Quick Chat from any page. Start a discussion, attach the subjects you want the agent to consult, and type your message. Your discussions are kept, so you can return to one at any time.

Keep a discussion beside your work

Select Quick Chat, the round button in the bottom-right corner of the screen, to open a message box. On a phone there is no such button: open the navigation menu with the round button at the bottom right, and choose Quick Chat, its last entry. Quick Chat stays with you as you move between pages, including Settings, and grows upwards as the conversation develops.

Quick Chat opens as a slim window: a single-line message box with + to start a new discussion, the send button, and the feedback icon beside it. The conversation shows above the box while you are using the window. Select anywhere else on the page and the conversation fades away, leaving just the message box; select the box to bring it back. While the conversation is hidden, a ring on the box shows that a reply is being written, and a dot shows that one has finished.

Three controls at the top right of the window let you:

  • Expand — open the larger window, which shows the discussion's title and provides the discussion list, Subjects, and Drafts. On a small screen, use its panel switcher to move between these areas. In-line returns to the slim window.
  • Open in Discussions — carry on in the full-width Discussions tab.
  • Close (×) — collapse Quick Chat back to its button.

The controls have labels for tooltips and assistive technology. In the slim window, a new discussion is created when you send its first message; in the expanded window, it opens straight away.

If you come back after more than 30 minutes away, Quick Chat opens with an empty message box rather than your last discussion. To pick that discussion up again, select Continue last discussion, the speech-bubble icon to the left of +; its tooltip names the discussion. A discussion with unsent text or a reply still being written stays open.

When you select documents on the Documents page, the bar of actions for the selection appears where Quick Chat sits, and Quick Chat moves up to sit just above it.

Select Open in Discussions to work on the same discussion in the full-width Discussions tab. Quick Chat normally collapses when you enter that tab, but you can reopen it. The two can show different discussions or the same one. If you open a discussion while its answer is still arriving in the other, you join that answer in progress; nothing is sent again. A message you have typed but not sent stays where you typed it and is not copied across. If you reload the page, unsent text is lost.

When you are viewing a document, the expanded window can offer Attach to subjects for that document. Select it only if you want the agent to consult the document in this discussion. Simply moving to a document does not attach it.

The four panels

The full-width Discussions tab is laid out in four panels:

  • Discussions — your discussions, one to a row.
  • Subjects — what the agent may consult.
  • The thread — the messages themselves.
  • Drafts — the Word documents the agent is editing for this discussion. It appears at the right edge, collapsed, once the discussion has a draft, and is not shown before then.

The Discussions and Subjects panels each collapse or expand, using the toggle on their own edge; a collapsed panel shows its name written down its bar. Use it to give the thread more room while you read a long answer. The Drafts panel opens and closes with the toggle on its left edge; opening it collapses the other two so the document has room, and closing it puts them back.

On a small screen the panels do not sit side by side. A switcher moves between Conversations, Subjects, Thread, and, once there is a draft, Drafts instead, one at a time. Opening a discussion takes you straight to its thread; the switcher brings you back to the list.

Start a discussion

Select + in the Discussions header — its tooltip reads "New discussion".

The discussion appears in the list named "New Discussion" and opens straight away. The Subjects panel appears beside it, ready for you to attach documents to. Until you send your first message, the thread offers a few suggested questions; select one to send it as written, or type your own. The discussion starts with nothing attached: a new discussion does not inherit the subjects attached to the one before it.

Each row in the list shows:

  • the discussion's title;
  • Rename;
  • Delete.

Attach subjects

The Subjects panel holds the documents the agent may consult. What you attach here is what the agent consults when it answers, so attach the material the question is about and leave the rest out.

Choose documents

Select the control in the Subjects header — a + before anything is attached, a pair of documents with a count once documents are; its tooltip reads "Select documents" or "Edit document selection" to match. A dialog lists your team's documents. Narrow the list with the filter box beneath the title, which keeps the documents whose titles contain what you type, or with the Tags, Type, Owner, Collections, and Created filters, and tick the documents you want.

The tick box at the head of the list ticks every document currently shown. To attach a whole collection, include it in the Collections filter and tick the head of the list; documents you ticked earlier and then filtered out of view stay ticked.

Select Use selected documents to attach what you ticked. It replaces what was attached before, so unticking a document detaches it. Cancel leaves the attachments as they were. Reopen the dialog at any time to change the set: the documents already attached arrive ticked.

The attached documents are listed in the panel, one to a row. Select the cross beside a document to detach it, then select Remove in the confirmation. Removing a document through Edit document selection still takes effect only when you select Use selected documents.

More than 20 attached documents brings a note in the dialog. Every attached document goes to the agent with each message, so a large set slows its replies and can dilute them. It is a caution, not a limit.

If an attached document belongs to a matter that Tiro is still linking, a note at the top of the panel says so. Until the linking finishes, the agent may not see how the matter's documents relate. The note is a caution only; you can send messages as usual, and it clears once the linking is done.

From the Documents page

You can also attach documents from the Documents page itself. Select the documents there and choose Send to discussion from the bar that appears; a dialog asks whether to start a new discussion or add to one of yours. The documents you send become the discussion's attached documents, replacing any attached before, and a notification offers a Go to discussion link that takes you straight there.

Whatever you attach is saved with the discussion, and comes back the next time you open it.

Send a message

Type your message in the thread and send it with Enter or the send button; Shift+Enter starts a new line. If you would rather Enter started a new line, turn off Enter sends the message in your settings; Cmd + Enter (Ctrl + Enter on Windows and Linux) then sends. The send button's tooltip always shows the shortcut in force. On a phone, the send button is the reliable way to send.

The agent takes the attached subjects into account, and text follows it as it writes without an artificial typing effect. A short answer may arrive almost at once. When it finishes, the discussion moves to the top of the Discussions list.

Discussions created with the retired chat service keep their saved messages, but cannot accept new replies. The thread explains this and disables sending. Start a new discussion to continue your work; the new discussion does not inherit the old agent's memory or attached subjects.

You do not have to wait for it:

  • Switch discussions mid-reply. A reply in progress stays in the discussion it belongs to — it never appears in the one you switched to. A reply running there carries on unaffected.
  • Close the browser mid-reply. The agent carries the answer through to the end. Open the discussion again and it is there.

Stop a reply

While the agent is answering, the send button becomes Stop response. Select it to end the answer. The text written so far stays in the thread, marked as incomplete, and the agent keeps its memory of the discussion, so you can carry straight on with your next message.

Recover an interrupted reply

An answer still in progress can recover after a reload or temporary connection loss. The thread restores its last saved checkpoint and reconnects to the same answer; it does not ask the agent to start again. The message box stays locked while that answer is running, including in another tab. An incomplete answer is labelled as such and remains visible when you reopen the discussion.

If another tab gets its message in first, this tab attaches to the running answer rather than sending yours again. A message without confirmed submission says so in the thread. Wait for the running answer to finish before deciding whether to send it.

Occasionally a message cannot be passed to the agent — for example, when the document tools are slow to reconnect after a pause. The thread says that the question was not sent and asks you to send it again. Nothing is lost: send the same message in the same discussion.

Changes the agent makes to the title or attached subjects are saved even while you are away. Returning reads the current selection; an old notification does not undo a later saved edit. A saved or discarded draft is not reopened by an old draft notification.

Ask the agent to edit a Word document

You can ask the agent to change a Word document you have attached as a subject: "make the notice period 30 days in clause 12", "add a sub-clause after 4.3 requiring written consent", "delete the second sentence of the confidentiality clause".

  • The Drafts panel opens beside the thread. The agent's changes appear there as tracked changes, in the document, as it makes them. The header counts them.
  • Move between edits. Use Previous edit and Next edit to move through the active edits in document order. The position beside the controls shows where you are in the list.
  • Follow completed edits automatically. Automatically scroll to the most recent edit is on by default. When the agent finishes a turn, the document moves to the first edit it made in that turn. Turn it off if you want the document to keep its current position; your choice applies to every discussion.
  • Review the full changes log. Select Changes to see the draft's edit operations, newest first. The log includes active and withdrawn changes. Select a row to return to that location in the document.
  • Keep going. Ask for more changes, or ask "what have you changed?" and the agent lists its edits. To undo one, ask the agent to withdraw it. Ask for a note on an edit and the agent attaches a Word comment to it, so the reason travels with the document.
  • Nothing is saved until you say so. The document in your library is untouched while you work. When you are happy, select Save as…. Choose New version of source document to add the edited file as that document's latest version, or choose New document and enter a title to create a separate document. You cannot attach the draft as a version of a different document because its changes and provenance belong to the source. The saved file keeps its tracked changes and appears in Documents once processing finishes; select View saved document to open its destination. Select Discard to drop the draft instead. If the source document has been given a newer version since the draft opened (another discussion saved its own changes to it, say), either save choice is refused and the panel says so: discard the draft and ask for the change again.

The panel closes and opens with the toggle on its left edge, and a count on the closed panel shows how many drafts are open. Drafts stay with their discussion: switch away and come back, and the panel returns as you left it, saved drafts and the selected document position included, so View saved document is never far away. A full browser reload starts the preview at the beginning. When the agent has edited more than one document in a discussion, the panel's header shows which draft you are looking at; select it to choose another. The list puts open drafts first and saved ones after, shows how many edits each open draft holds, and marks the draft the agent is editing right now and any draft that has gained edits since you last looked at it. On a small screen the drafts have their own Drafts pane in the switcher.

The agent can only draft changes to Word documents that have finished processing. It declines a document that is open in a contract review or is a template, and it does not edit spreadsheets or presentations.

Ask the agent to draft a new Word document

You can ask the agent to write a document from scratch: "draft a mutual NDA between Alpha and Beta under New South Wales law", "write a letter to the landlord giving notice under clause 4", "prepare a schedule of the payment dates in this agreement". Give it the parties, the subject, and the governing law where they matter; if something essential is missing, it asks before drafting.

  • A preparing card appears in Drafts. The agent writes the whole document and hands it over to be rendered. The Drafts panel opens at once with a card that reads "Preparing the document…", and the rendered document takes its place within about a minute. The card says "Still preparing — the queue is busy" if it takes longer.
  • Then it is an ordinary draft. Ask for changes as you would for an attached document and they appear as tracked changes; Save as… and Discard work in the same way. The agent cannot change the document in the same reply that creates it, so ask for adjustments once the card has become the document.
  • The document is already in your library. A generated document appears in Documents as soon as it has been rendered, with the discussion recorded as its source. Saving the draft adds a new version with your changes; discarding the draft closes the draft and leaves the document, which you can delete from Documents like any other.
  • Start again when you want a rewrite. For a different document rather than a change to this one, ask the agent to regenerate it; it adds the new text as a new version of the same document. Save or discard the open draft first, or the agent will ask you to.
  • If it could not be generated. The card says so and the panel offers Discard. Discard the draft and ask again.

Ask the agent to run a saved workflow

Ask for a saved dynamic workflow or extraction schema by name, or describe the one you want the agent to find. For example: “Run the change-of-control review on these subjects” or “Extract the renewal terms from the leases, one result per document”.

A saved dynamic workflow can run here, in the discussion, or in the background. If you don't say which, the agent recommends one and says why. Work that depends on what it finds along the way suits the discussion, where you can steer it. Work whose decisions can all be made before it starts suits the background, where it runs on its own and several runs can go at once. An extraction always runs in the background. If you choose the background for a workflow that stops to check with you part-way, the agent asks whether the run should wait for your answer in Activity or use its best judgement.

Before starting a background run, the agent asks for anything the workflow needs from you, such as a party's name or a confirmation it would otherwise stop to ask for. It then confirms the important choices:

  • which saved workflow or extraction schema it will use;
  • which documents it will send;
  • whether several documents go together in one run or separately, one run each, and why;
  • any extra instructions for an ordinary dynamic workflow, including your answers to what it needs, or any reports to produce with an extraction; and
  • that the run and its results will be visible to your team in Activity.

The subjects attached to the discussion are the default document set. You can ask for only some of them or name other documents in your team's library; doing so does not change the attached subjects. The agent chooses between one run and separate runs from what the workflow does and how the documents relate. For example, a master agreement and its amendments usually go together, because together they are one contract. When the choice is unclear, it says so. You can always ask for the other mode. With one document there is no mode to choose. More than ten runs always need your express confirmation.

Once the agent starts the work, it gives you an Activity link. A single run opens directly; a batch opens the Activity list. The work continues in the background, so use Activity to follow it, respond if an agent asks for input, and open the result.

The discussion keeps track of what it started. Under the reply that started them, each run has a small chip with its name and status. A Runs button beside the status line above the message box lists every run the discussion has started, newest first; a coloured dot on it tells you when a run needs your input or did not complete. Select a chip or a row to open that run in Activity.

If the agent cannot confirm a start, check Activity before asking for another run: the original may already be working. For a batch, the agent distinguishes confirmed starts, refusals, and unconfirmed starts. An unconfirmed start is neither a success nor a failure.

Read results and request a follow-up

Return to the same discussion and ask whether its runs have finished, or ask the agent to summarise their findings. It can read the main results, including extraction answers and citations. Reports and other files produced separately are not available to it through this route; open those in Activity. A completed run does not mean its reports are ready.

To receive a reply without asking again, include the next step: “Run these extractions, then compare their findings when they finish.” You can also request a follow-up for runs already started by this discussion. The agent confirms when the request is registered. Merely asking it to start a run does not schedule another reply.

The follow-up waits for every selected run to finish, including unsuccessful runs, then responds in the same discussion. You can close your browser while it waits. If a run needs input, respond in Activity before the follow-up can proceed. The reply is labelled Requested follow-up and explains any gaps in the available findings.

Save repeatable work as a workflow

When you and the agent have worked through a task in the discussion that you could repeat on other documents, the agent offers, once, to save it as a dynamic workflow. It summarises the steps and the inputs each run would need before saving, and saves only if you agree. The workflow is visible to your team.

When the agent carries out a saved workflow and finds gaps in it, such as an unclear step or a missing input, it lists the changes it would make and offers to make them. If the workflow belongs to someone else, it offers to save an improved copy as your own.

Open Runs to inspect follow-up state. Select Withdraw follow-up before a response starts; afterwards, use Stop response. An unavailable run or discussion session can prevent a follow-up. Its status explains that it could not complete; ask again explicitly if you still want the work done.

An extraction schema needs at least one item, with a label and instructions for every item, before it can run. You can still save an unfinished schema and complete it in Workflows.

You can also ask the agent to create a new ordinary dynamic workflow or update one you own. It tells you that the saved workflow will be visible to the team. Extraction schemas are still created and edited from Workflows.

Share your thoughts

To tell us what you think of a discussion — what worked, what did not, what you expected — select the speech-bubble icon. The one beside the send button is for the discussion as a whole; the one under a reply is for that reply. Write whatever you like and select Send.

Your note goes to the Tiro team. The agent does not see it, and it does not change the discussion.

Return to an idle discussion

After about an hour of inactivity, the model's prompt cache may need warming again. The next message can therefore use more of your team's usage allowance — the longer the discussion, the more it can cost to pick back up. This is not a reconstruction of a lost agent session from saved messages.

So when you open a discussion that has been idle for more than an hour, you unlock it before you send: an amber Unlock button takes the place of the send button. Nothing is used until you actually send a message. Short discussions are never locked.

In the Discussions tab and Quick Chat's expanded window, a notice above the message box shows how long the discussion has been idle and an estimate of what continuing will use. Select Unlock to carry on. The × beside the notice hides it without unlocking; Unlock then asks you to confirm first.

The slim window has no room for the notice. Point to Unlock, or move to it with the keyboard, to read the warning. Selecting it, or pressing Enter, asks you to confirm: Unlock and send if you have typed a message, or Unlock if not.

Open, close, rename, and delete

  • Open — select a discussion. Its history loads, up to the last 100 messages, and the subjects saved with it are re-attached.
  • Close — select the open discussion again. The thread closes, no discussion is selected, and the Subjects panel (and the Drafts panel, if it was showing) goes with it until you open another.
  • Rename — select the rename action. The title becomes editable; type a new one and submit it. An empty title is refused and the original name stays.
  • Delete — select Delete and confirm. The discussion leaves the list, and if it was open the thread closes.

The list is ordered by activity: whenever the agent finishes a reply, that discussion moves to the top.
